Administrative Assistant Volunteer
A skilled Administrative Assistant will undertake a variety of day-to-day office and clerical tasks. This position is an integral member of the team – ensuring that our office operations run smoothly and that Volunteer Lethbridge is poised for success in supporting volunteers, our programming, and our community.
There will be two (2) supervisors: the Volunteer Coordinator and the Operational and Human Resources Coordinator. The supervisors provide continuing or individual assignments by indicating generally what is to be done, limitations, quality and quantity expected, deadlines and priorities. Additional, specific instructions are given for new, difficult, or unusual assignments. The volunteer uses initiative in carrying out recurring assignments. The supervisors assure that the work is technically accurate and in compliance with instructions or established procedures.
Training is provided.
Volunteer Duties
- Assist the Volunteer Coordinator by doing the following:
- Learn how to navigate and operate Better Impact.
- Fill in Volunteer Referral Forms and send them to our Member Organizations.
- Upload Volunteer Reference Checks to Better Impact.
- Must commit to your scheduled volunteer shift ready and able to perform all necessary tasks.
- Follow-up of volunteers on our database using Better Impact.
- Assist the Operational and Human Resources Coordinator by doing the following:
- Follow office workflow procedures to ensure maximum efficiency.
- Perform various administrative and clerical tasks to support the entire office.
- Welcome visitors, volunteers, and internal employees with a cheerful disposition.
- Provide professional assistance via phone, e-mail, or in-person.
- Answer phones and route calls to appropriate departments.
- Prepare outgoing mails and packages.
- Print, copy, and shred files, documents, and other paperwork for the office.
- Maintain office files and records using an effective filing system.
- Support meeting, conferencing, and workshop needs.
- Maintain a clean and organized work environment.
- Restock snack drawers.
- Assist team members if they’re at capacity, such as social media, membership, etc.
Age Requirements
Must be 18 years old or above
Requirements
Preferred:
- Previous proven administrative or customer service experience.
- Experience using office equipment (phone systems, copier, printer).
- Excellent computer skills, experience using online platforms, learning new technological platforms.
- Working knowledge of social media and website management.
Schedule
3-4 hours a day on operating days (Monday to Friday)
