Volunteer Duties

  • Assists with administrative duties and help to ensure that records, meetings, and processes are recorded and archived appropriately.
  • Assists HQ and the Volunteer Program Lead with correspondence, record keeping, and appointment setting.
  • Reporting to the Volunteer Program Lead, the Admin Assistant will conduct general tasks such as:
    • Assisting to handle correspondence as assigned by HQ and the Volunteer Program Lead and with keeping records, such as transition documents, passwords, meeting minutes and other organizational information.
    • Scheduling and confirming appointments and meetings for HQ and the Volunteer Program Lead and Volunteer Team.
    • Responding to telephone, in-person, and email inquiries from management assigned inboxes.
    • Informing key internal staff, and volunteers of deadlines for reports, mailings, and other commitments.
    • Communicating contact information from systems when required by internal staff.
    • Assisting with the maintaining, updating, and completion of the organization’s bylaws and other important documents.
    • Assisting other office support staff with day to day administrative functions.
    • Assisting with the enforcement and communication of membership guidelines, by-laws etc.
    • Acting as a point of contact for current and potential members and the public wanting information.
    • Upkeeping calendars (editorial, press conferences, events etc.)
    • Suggesting innovative ideas in brainstorming sessions.
    • Assist in taking minutes in meetings, they are present in.

Requirements

  • Age: 18 years old and above

Schedule

Commit to a minimum of 10-12 hours weekly over a 4–6-month period.
